What floord collects, how information moves through your workflow, and how to ask for help with your data.

01Who operates floord

floord is operated by Tyler Perkins in Idaho, United States. This Policy covers information handled through our website, application, support, and connected features. Contact info@floord.pro about privacy or data requests.

Flooring companies choose what customer and job information to place in their workspaces. If a contractor uses floord for your project, that contractor also controls how it uses your information. Contact the contractor about its own practices; you can contact us about information held in floord.

02Information we handle

  • Accounts and teams: names, email addresses, company names, phone numbers, job titles, membership roles, invitations, and sign-in or verification information.
  • Business and job records: customer and supplier contacts, site addresses, leads, project notes, measurements, uploaded plans and other files, pricing, estimates, proposals, approvals, signatures, purchasing, and task schedules.
  • Billing: subscription and customer identifiers, payment status, billing periods, and invoice references. Stripe collects payment details in its checkout or billing portal; floord does not receive or store full card numbers or card security codes.
  • Connections: account or company identifiers, email addresses where supplied, permissions, authorization credentials, and references to events, files, customers, and invoices involved in requested actions.
  • Support and technical information: messages you send us, error and security records, request information such as IP address or browser details processed by our hosting and security providers, and essential session identifiers.

Only provide information you are entitled to use. Avoid uploading sensitive personal information that is not needed for the job.

03Why we use information

We use information to create and secure accounts, manage company access and subscriptions, store and process job records, generate documents, carry out actions you request, provide support, investigate errors or abuse, and meet applicable legal obligations.

We do not sell customer or job information, share it for advertising, or use it to train AI models. Our use is limited to providing and supporting floord and handling related security, billing, and legal responsibilities.

04Service providers and sharing

Information is shared as needed with providers that run specific parts of floord:

  • Cloudflare: application hosting, database and file storage, and Turnstile abuse protection.
  • Supabase: account authentication and email verification or password recovery.
  • Resend: delivery of account-related email.
  • Stripe: subscription checkout, payments, invoices, and billing management.
  • OpenAI: processing content for AI-assisted extraction and drafting features.
  • Google and Intuit QuickBooks: optional connections and the specific workflow actions you authorize, described below.

Authorized team members can access company records according to their role. Proposal recipients can view information shared through customer links. Documents you download or send, and records created in connected services, can be retained by those recipients under their own practices.

We may disclose information when required by law or necessary to address fraud, security, or the rights and safety of users. Google data remains subject to the additional restrictions below. Providers may process information in the United States or other countries where they operate; we do not promise that all information stays in Idaho or in one data center.

05AI-assisted processing

When you use AI-assisted features, relevant uploaded files, images, extracted text, and entered instructions may be sent to OpenAI to produce the requested result. That content may contain customer or job details if included in the source. Review it before uploading and check results before use.

Provider processing, security logs, and retention are governed by the applicable service terms and controls. AI processing is not a promise of zero retention by the provider. floord does not use your content to train AI models.

The Google and QuickBooks connections are used for the connected workflow, not as sources for training AI. floord does not send their saved authorization credentials to an AI provider.

06Google Calendar and Drive

Connecting Google gives floord access to the Google account identity and email information and the Calendar and Drive permissions shown during authorization. The current connection requests permission to manage events on calendars you own and access files created or opened with floord.

When you submit a calendar action, floord sends the selected event title, dates, times, and job details, which may include customer contact information, address, and notes, to your primary calendar. If you choose attachments, floord uploads work-order PDF or Excel files to Drive and attaches their references to the event. We retain connection credentials and the event/file identifiers or links needed to perform and display these actions.

Google information is used only to provide and support the user-facing connection you request. We do not use it for advertising, sell it, or use it to develop, improve, or train generalized AI or machine-learning models. Transfers are limited to what is necessary for those features, permitted security purposes, or legal requirements. Human access is limited to permitted purposes such as help with your specific consent, necessary security investigation, or legal compliance.

floord’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect Google in floord’s Company connections and revoke access through your Google Account connections. A disconnect removes the saved connection from floord; existing calendar events, Drive files, and job history are not automatically deleted. Manage provider copies in Google and contact us for deletion of information retained by floord.

07QuickBooks Online

When you connect QuickBooks, floord stores the company identifier and authorization credentials. It reads company, customer, product/service, and tax information needed to prepare the invoice workflow. At your request it can create a customer and an unsent invoice, and read the referenced invoice to confirm or reopen it.

The selected customer details, approved job descriptions, amounts, and tax information are sent to the connected QuickBooks company. floord retains relevant transaction identifiers, links, and workflow history. Review and send the invoice in QuickBooks; floord does not automatically send it or synchronize customer payment status.

Disconnect QuickBooks in Company connections and revoke access through your Intuit account or QuickBooks connected-app settings if desired. Disconnecting does not delete existing QuickBooks customers or invoices, or remove floord’s saved job and transaction history.

08Cookies and security

floord uses essential cookies and similar browser functions to keep you signed in, manage demo or authorization sessions, and protect account actions. Authentication, hosting, and abuse-protection providers also process technical information for those functions. Blocking required cookies can prevent sign-in or connected features from working.

We use access controls, protected server-side credentials, encrypted connections, and other measures appropriate to the service. These measures reduce risk but cannot guarantee that every system or transmission is secure. Protect your password, team invitations, and proposal links, and report suspected unauthorized access to info@floord.pro.

09Retention and deletion

We retain information while it is needed to provide the service, preserve customer-approved job records, support account recovery, resolve billing or other disputes, maintain security, or meet legal obligations. The period depends on the type of information, the company’s instructions, and those purposes.

Canceling a subscription or a failed payment does not automatically delete company data. Removing an employee ends their company access but can leave membership and job history. Some in-app deletion actions preserve signed or approved records. Disconnecting an integration removes the saved connection credentials but leaves the resulting business records.

To request account closure or deletion, email info@floord.pro. Requests are handled manually. We may verify your identity and authority over company data, clarify the records involved, and identify information that must be retained for legal, accounting, security, or dispute purposes. We will explain any limits on a request. Deletion from active systems may not immediately remove copies in backups or provider systems, which follow their own retention and deletion processes.

Copies already shared with a contractor, customer, Google, QuickBooks, or another recipient must also be managed with that recipient. Cancellation and disconnecting alone are not substitutes for a deletion request.

10Your choices and requests

You can update information available in your account or workspace, ask the company owner to manage team access, choose whether to connect external services, and contact us to request access, correction, a copy, or deletion of information. Rights and any exceptions depend on applicable law; we will handle requests under those requirements.

Include enough information to identify your account or project, but do not send passwords, full payment-card details, or unnecessary identity documents. We may need the company owner’s involvement for business records. Contact info@floord.pro if a request cannot be resolved through the contractor or owner.

11Children, changes, and contact

floord is a business service for adults and is not directed to children under 13. We do not knowingly collect children’s personal information. Contact us if you believe a child has provided information so we can investigate and take appropriate action.

We may update this Policy as the service or its practices change. The published version will include an updated date, and we will provide further notice where a material change or applicable law requires it.
